Client Administration Coordinator

Remote - The Woodlands, TX

This position is responsible for delivering administrative support to Questco’s clients and their worksite employees across a range of key services, including drug testing, background screening, FMLA and leave of absence management, compliance poster coordination, and other client-facing administrative functions. By adhering to federal and state regulations—as well as internal policies and procedures, this role plays a vital part in mitigating risk and ensuring compliance, while also providing consistent, high-quality service experience for our clients. 

Specific job responsibilities include: 

• Process LOA / FMLA (Family and Medical Leave Act) requests and assist clients and employees regarding leave regulations and required paperwork 

• Process requests for drug testing/background checks 

• Reconcile monthly invoice adjustments for billable services 

• Process yearly EEO1 Reporting for clients required to file 

• Process yearly Veteran Reporting for clients with Government Contracts 

• Process yearly California Pay Reporting requirements 

• Manage client requests for Compliance Posters 

• Review and complete with accuracy, employment verifications 

• Provide excellent customer service to Questco clients and worksite employees including positive telephone experience and prompt follow-up 

• Follow all Federal, State and Local laws and regulations related to the Human Resources function including, but not limited to, FLSA, ADA, HIPAA, other data privacy rules and regulations, Civil Rights Act of 1964, and FMLA regarding client issues and decisions and know when to obtain legal or other advice 

• Provide proactive communication and partner with Questco departments to ensure the best client experience possible 

• All other duties as assigned 

Required Qualifications: 

• 1+ years’ experience in Customer service / Client facing role 

• Experience in HR or similar is preferred 

• Strong written and verbal communication skills 

• Must work well independently as well as a functional team member 

• Professional services experience, PEO knowledge, preferred 

• Excellent computer skills, high proficiency in MS Office

Physical Requirements, Language Skills: 

• Must be able to work flexible schedules when needed to support business needs 

• Frequent viewing of computer terminal with wrist/finger movement to operate a computer keyboard 

• Requires sitting or standing for long periods of time 

• Must be able to lift and carry up to 5lbs. periodically 

• Bend, reach, pull, stoop, and push are all elements of physical activity for this position 

• Fluency in English – speak, read and write.
